Quick LTE tips from MAPinc.org:

Be timely - Capitalize on recent news and events, within 24 hrs of a story if possible.

Keep it short and simple - Keep your points clear and stick to one subject. If you look at the editorial page, a few paragraphs is all they usually print!

Think locally - Demonstrate how this issue effects you locally, and mention lawmakers by name to ensure you get their attention.

Sign your letter. Include your name, address and telephone number. Papers may need to contact you if they are considering printing your letter. Don't worry -- they won't print your phone or street address.

Follow-up. If the newspaper doesn't call you, call the newspaper. Ask to speak to the person in charge of letters to the editor. Ask if they plan on printing your letter, and if not, see if they have any feedback for you.

Seal the deal. If your letter is printed, be sure to send us (MAPinc) a copy so we can track our effectiveness. If you mention an elected official, it's a good idea to send them a copy too

Grammar, punctuation and spelling are not important in forums where the passion makes informal writing acceptable, but anyone thinking of writing a letter to an editor, a senator etc. should compose the message with a word processor with a good spell checker (and hopefully a grammar checker too). It's also a very good idea to show/email it to get a couple friends to proofread it for you.

People will be critical, judgmental, and prejudiced. If an LTE is not up to a newspaper's standards they won't even consider publishing it.

So what's the best process, send each an individual email or send them in several through CC's or do you do something else? I have tried these ways

I've sent out two and both were BCC except for the first on the list. I have no idea what the media thinks of mass mailings, but I'd guess they prefer a more personal touch.

I think that original LTE's as opposed to responses to stories or other LTE's might work better as mass mailings than specific responses.

Frank Discussion might have a word or two about this. Any others with opinions?

avoid sending these bcc, or with huge lists in the 'to' field, it will increase the chance of your emails being sidelined by spam filters etc.

mass emailing is common enough that tools are available to provide remedy. Free utilities work with templates to provide a modicum of personalization, and without too much work. Online services will allow mailing to lists in a way that skirts the bcc problem, I get mail like this from a local community garden outfit, they use mailchimp, there must be others.

I do work in this field (cyberspace), so, of course, what do I suggest? software. It's a "when you've got a hammer, everything looks like a nail" type thing

This sounds fantastic! Does it mean that if we divided up the list of email addresses and kept each within the limit of a "little league team," we could send any message automatically only targeted to one recipient?

Thanks for the advice. I intuited that bcc mass mailings were defeating the purpose. What I plan next to do is group the media in the largest centers as the main recipients. Since dropping bcc's tactically, I've been published four times in a short period.

I appreciate this thread. Many newspapers in the larger cities welcome for consideration original articles of maybe 700-800 words as opposed to 200-250 word max for LTEs. Of course such long pro-pot articles might not be read by as many and could result in other problems. GWTJ
